Book, charge and check in at the desk

Book walk-ins on the live calendar, put sessions, memberships and shop items in one basket, take the card on the reader and scan everyone in. A place sold at the desk comes off your website at once.

A walk-in, booked and paid at the counter

Your desk books from the same live calendar as your website, so a place sold at the counter can’t also sell online.

  1. 1Find or add the customerSearch by name or email. A member’s price and discount show before you charge.
  2. 2Add everything to one basketSessions, hire, memberships, class passes and shop items, paid for together.
  3. 3Take the card on the readerThe amount shows on the reader’s screen. Paying cash? Mark it as cash.

Shop items and memberships in one basket

Sell wax, snacks or a membership alongside the session. Shop items need no name or email, and memberships, class passes and credit vouchers are saved to the customer’s account.

  • Store items sold by cash or card reader, with no details taken
  • Memberships sold at the desk, with no sign-up charge if you choose
  • Class passes and credit vouchers sold in person

Check-in that stops for anything outstanding

Scan the QR code from their confirmation email and they’re checked in. If they still owe money, haven’t signed their waiver or their membership has lapsed, the scanner stops and shows what to sort out.

  • Almost any handheld scanner works
  • Unpaid balances, unsigned waivers and lapsed memberships flagged
  • Members show their pass from Apple Wallet or Google Wallet

Also handled at the desk

  • Phone bookings

Book callers on the live calendar while they’re on the line, then email them a payment link.

  • Balances settled on arrival

Open an unpaid basket from the unpaid items list and take it on the reader or in cash.

  • Hire at the counter

Book hire from the dashboard. If there isn’t enough kit free, staff see a warning first.

Your questions answered

Transparency is at the heart of eola. If you don’t see your question here, get in touch with our team.

Can I take card payments in person?

Yes. With the card reader app switched on, you take payment on a reader linked to eola, and its screen shows the amount being charged. Our team will help you get one set up.

Which scanner do I need for QR code check-in?

Almost any handheld scanner works out of the box. Plug it into your computer, open the scanner from the Check-in button, and turn on QR code check-in in your widget settings so the codes appear in confirmation emails.

Does a booking made at the desk show on my website?

Yes. Desk bookings go on the same calendar your booking page reads from, so the place comes off sale online straight away.

Can staff sell something without taking the customer’s details?

Store items, yes: a shop sale by cash or card reader needs no name or email. Memberships, class passes and credit vouchers are saved to a customer’s account, so add the customer first.

What if someone turns up without having paid?

The check-in scanner stops and shows what they owe. Take it on the card reader or in cash, or choose Check in anyway if you’ve agreed something else.

Can members get their price at the desk?

Yes. Pick the member at checkout and their member price and discount show before you take payment. Once a membership has ended, member prices stop.
