Shiftie integration: sync staff shifts with your availability

If you plan staff rotas in one system and take bookings in another, it’s easy to sell a session nobody is free to run. The Shiftie integration connects the two. Shifts, leave and absences you set in Shiftie update instructor availability in eola automatically, so you only sell the spaces your team can cover.

Shiftie is in Beta in the eola App Store. Most of it works as it should, but some limitations may exist, and it takes a little set-up before you switch it on.

What is Shiftie?

Shiftie is shift scheduling and HR software designed for the visitor attraction industry. Teams use it to:

• plan shifts and see who’s available
• keep employee details in one place
• track time and timesheets
• manage holidays, leave and absences

What the integration does

eola treats your instructors as a resource, like rafts or wetsuits. Once Shiftie is connected:

• Shifts set availability. Instructors count as available in eola when they’re on shift in Shiftie.
• Leave and absences block time out. Approved leave, absences and unavailability in Shiftie make that instructor unavailable in eola. If leave is cancelled, they become available again.
• Spaces follow your staff. Activities and rentals that need an instructor only offer the spaces your available team can cover, so you don’t get overbooked.
• You can see it in the calendar. Open Filter and, under Show instructor availability from Shiftie, choose Show shifts, Show time off or Show unavailable blocks.

Changes sync from Shiftie to eola on their own. Keep planning rotas in Shiftie as usual, and you don’t need to update eola by hand.

Who it’s for

The integration suits businesses where who’s working changes from week to week: a watersports centre with seasonal instructors, a climbing wall with part-time staff, or an attraction running sessions across several sites. If you have one or two instructors who work every session, instructor calendars in eola may be all you need.

Before you start

• You need an active Shiftie account. The integration itself is free to switch on in eola.
• Shiftie works through resource management, so add the Resource management app first. Automated resource management is part of Pro.
• Add your instructors to eola under Toolset > Team, and set how many instructors each activity needs on its Resources step.

How to switch it on

1. Go to Toolset > Apps and open Shiftie - shift management, under Availability management.
2. Select Add to eola. A Shiftie option then appears in your Toolset.
3. Open Toolset > Shiftie, enter your Shiftie email address and password and select Connect. eola never sees or stores your Shiftie password.
4. Choose the Shiftie company to link to eola and save.
5. If you only want one Shiftie location, choose it. Otherwise eola imports data from all your locations.
6. Match each eola instructor to their Shiftie employee and select Save for each one.

Good to know

• Shiftie only changes instructor availability. Your bookings, prices and sessions stay in eola.
• Only instructors you’ve matched to a Shiftie employee are affected. Everyone else works as before.
• Disconnecting Shiftie, from Toolset > Shiftie, removes all the unavailability Shiftie created in eola.
